Adelaide Venue Management (AVM) is South Australia’s leading provider of venue management services. It is responsible for operating three of Adelaide’s most iconic venues: Adelaide Convention Centre, Adelaide Entertainment Centre, and Coopers Stadium, in addition to functions and events at The Drive.

The Role

As a Guest Services Coordinator, you will play a vital role in delivering seamless service for sporting and event-based functions across the Adelaide Entertainment Centre & Cooper’s Stadium. From managing client relationships to supporting the Food & Beverage team with backstage catering, this role will give you the chance to work in a dynamic environment with a strong focus on exceptional customer service.

Reporting to the Guest Services Manager, you’ll be coordinating a range of functions from sporting events to large-scale entertainment, ensuring each event runs smoothly, while also overseeing the backstage catering and artists’ needs. This role provides hands-on experience in event coordination, customer service and client management.

Key Responsibilities:

Sport and Event Related Functions

  • Plan and manage all functions for Sporting primary users and Event related Functions across all venues.
  • Collaborate with internal teams to ensure the smooth delivery of events.
  • Build strong, professional relationships with sporting clubs and event production teams.
  • Maintain the Momentus database and manage client bookings, ensuring all internal notes and details are updated.
  • Update venue collateral, including room hire rates, pricing plans, and menus.
  • Process event-related invoices in a timely manner.
  • Prepare reports and assist in event planning and administration tasks.

Backstage Catering

  • Support the Food and Beverage Manager with backstage catering logistics.
  • Supervise Event Team Members delivering backstage catering services to meet venue hirers’ requirements.
  • Ensure high standards of service and manage backstage dressing room setups.
  • Oversee backstage shopping and ensure timely and accurate receipt processing.
  • Help with the implementation of the Food Safety Plan to maintain quality standards.

Skills you will bring to the role:

  • Skilled in planning and managing events, ensuring smooth delivery and client satisfaction.
  • Strong focus on providing high-quality service and building professional relationships.
  • Clear written and verbal communication skills, handling client interactions and team collaboration.
  • Proactive in resolving issues and adapting to changing event requirements.
  • Ensuring accuracy in event documentation, client requests, and backstage setups.
  • Able to lead and support teams to meet client and venue requirements.
  • Efficient at multitasking and prioritising tasks in fast-paced environments.
  • Proficient in Microsoft Office and event management software (e.g., Momentus).
